Terms and Conditions – Iron Traks Internal App

This outlines the terms and conditions governing the use of the Iron Traks App (“the App”) by authorised employees and board members of Iron Traks Ltd (“the Organisation”). By accessing or using the App, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.

1. Purpose of the App

Iron Traks App is a secure internal application developed to support the Organisation’s operational, compliance, and reporting requirements. It enables real-time data entry, resource tracking, analytics, and coordination across business units. The platform is designed for internal use only and must not be accessed or used by unauthorised parties.

2. User Access and Authorisation

  • Only current employees, contractors, and board members with explicit authorisation may access the App.

  • Access is provided on the basis of your role and responsibilities.

  • You must use only your assigned login credentials and multi-factor authentication (MFA) where required.

  • You must immediately notify the System Administrator if you suspect your account has been compromised.

3. Appropriate Use

Users must:

  • Access the App only for legitimate work purposes.

  • Use the platform in accordance with internal policies, codes of conduct, and relevant legislation.

  • Refrain from uploading, distributing, or sharing any offensive, defamatory, illegal, or confidential content not authorised for internal use.

  • Ensure that mobile or remote access is conducted securely, consistent with ACSC advice.

4. Data Security and Privacy

  • The App collects, stores, and processes data in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

  • Personal information is collected for operational and administrative purposes only and is protected by organisational security controls.

  • Data is stored in secure Australian-based data centres or approved sovereign cloud providers with appropriate encryption and access controls.

  • You must not export, copy, or transmit sensitive or personal information outside of the platform unless authorised.

  • Your activity within the App may be monitored and audited for security and compliance purposes.

5. Cyber Security Obligations

In line with guidance from the Australian Cyber Security Centre (ACSC), users must:

  • Keep devices used to access the App updated with the latest operating system and security patches.

  • Use antivirus and endpoint protection software approved by the Organisation.

  • Avoid connecting to public or untrusted Wi-Fi networks when accessing the App.

  • Refrain from using jailbroken/rooted devices to access the platform.

6. Confidentiality and Intellectual Property

  • All materials, data, and intellectual property contained in the App remain the property of Iron Traks Pty Ltd.

  • Users are prohibited from copying, disclosing, or reusing information obtained via the App for personal or third-party purposes.

  • Any unauthorised use of the Organisation’s intellectual property may lead to disciplinary or legal action.

7. Breach of Terms

Breaches of these terms will be taken seriously and may result in:

  • Revocation of system access

  • Internal disciplinary action (including termination of employment or contract)

  • Notification to external regulators (if required)

  • Criminal or civil prosecution under relevant Australian laws

8. System Availability and Support

The Organisation aims to maintain availability and performance of the App; however, scheduled maintenance, outages, or security incidents may impact access. Support is available via:

9. Amendments to Terms

These Terms and Conditions may be updated periodically to reflect changes in legislation, policy, or system functionality. It is your responsibility to review any changes. Continued use of the App indicates your acceptance of the updated terms.

10. Acknowledgement

By using the Iron Traks Internal App, you confirm that:

  • You understand your obligations under these Terms and Conditions.

  • You will comply with relevant organisational policies, the Privacy Act 1988, and applicable cybersecurity guidance.

  • You acknowledge the Organisation’s right to monitor, audit, and enforce these terms.
